Document Entitlements – Assigning to Users

After Document Entitlements have been set up, they can be assigned to users, either individually or in bulk.

Assigning Document Entitlements to a Single User

  1. Click System Administration | Users.
  2. Click on the row of the User to assign the Entitlement Scheme or Preset Entitlement.
  1. Click Document Entitlement under User Options.
  2. Use the dropdown arrow to select either Custom Entitlements or Preset Entitlements.

Custom Entitlements

Custom Entitlements use Entitlement Schemes for relevant document meta tags; values for the tags are added when the scheme is selected for the individual user.

  1. Select Custom Entitlements from the dropdown options.
  2. Use the dropdown arrow to select one of the Entitlement Schemes created in the Clients module.
  3. Click +Add Field to add values for the selected tags. Multiple values may be selected.
  4. Click Save.
  5. Edit the values at any time by selecting the User, clicking Document Entitlement, adding, editing or deleting values then clicking Save.

Preset Entitlements

  1. Select Preset Entitlements from the dropdown options.
  2. Use the dropdown arrow to select one of the Preset Entitlements set up in the Clients module.
  3. The values for the tags are read-only.
  4. Click Save.
  5. To Edit the values, return to System Administration | Clients | Document Entitlements.

Assigning Bulk Document Entitlements

If you are adding Document Entitlements to multiple users, it is more efficient to do this as a bulk action.
  1. Click on System Administration | Users.
  2. Use the checkbox to select all users to assign the same document entitlement.
Note: You can select users across pages.
  1. Click Actions.
  1. Select Bulk Edit Document Entitlements from the dropdown options.
  2. Select an action to take:
    • Replace Document Entitlements – overwrite any existing entitlements
    • Add Document Entitlements – add new values to existing tags
    • Assign Preset Document Entitlements – overwrite existing custom entitlements with a preset entitlement

Replace Document Entitlements

  1. Select Replace Document Entitlements.
  2. Click Confirm.
  3. Use the dropdown to select the appropriate Entitlement Scheme.
  1. Click +Add Field to add values for that scheme’s meta tags.
  2. Click Confirm.
  3. The email addresses, and names if provided, of the users whose entitlements are being changed will be listed. Click Confirm & Finish.

Add Document Entitlements

Entitlement Schemes must match for additional values to be applied to tags.

  1. Select Add Document Entitlements.
  2. Click Confirm.
  3. Use the dropdown to select an Entitlement Scheme.
  1. Click +Add Field to add values, where needed, to the meta tags.
  2. Click Confirm.
  3. If any users’ existing entitlement schemes do not match the selected one, their names will be listed, click Remove & Finish.
  • User’s original meta tag values.
  • User’s meta tag values with new isin added.

Assign Preset Document Entitlement

The Preset will overwrite any existing Custom Entitlements or Preset Entitlements for the selected users.

  1. Select Assign Preset Document Entitlement.
  2. Click Confirm.
  3. Use the dropdown arrow to select an Entitlement Scheme. Values will be read-only.
  4. Click Confirm.
